Images, sizes, composition and quantity checklist before a quotation

A stock listing helps a buyer assess available goods; it does not replace commercial confirmation. Before accepting a quotation, connect every image and data point to the same reference and clarify anything missing or inconsistent.

What should a buyer check before accepting a fashion-stock quotation?

Check that the reference, images or video, condition, known defects, composition, sizes, colours, quantities and purchase mode describe the same lot or style. The listing is the starting evidence; the latest written quotation must confirm final quantity, price, VAT, freight and terms. If information is missing or does not match, ask for written clarification before accepting.

Do not confuse the four quantity figures

Several quantities may legitimately appear in one B2B fashion-stock journey.

Lot total
The overall quantity published for the lot when the listing was viewed.
Style availability
Quantity for one style, which is different from the lot total.
Minimum purchase
The permitted threshold for a full lot, partial lot or standalone style.
Final quantity
The quantity confirmed in the latest written quotation; this is the commercial reference.

When to pause and ask for clarification

A difference does not automatically indicate a problem, but it should be resolved before acceptance.

  • Different references across photos, video, selection and quotation
  • Label photos not linked to a specific style
  • Sizes or colours listed without enough distribution detail for your channel
  • Figures that mix lot total, style quantity, minimum and requested quantity
  • Older material that may no longer represent current availability
  • Ambiguous wording about condition, a known defect or packaging
  • Final quantity or terms missing from the latest written version

What images and video cannot prove by themselves

Images and video help assess visible appearance, but alone they do not guarantee future availability, final count, origin, authenticity, brand authorisation or compliance in every market. If any of these matters is decisive, request specific confirmation or documentation before ordering.

Product-evidence questions

Are photographs enough to accept a quotation?
No. They must be linked to the correct reference and read together with condition, composition, sizes, quantity, purchase mode and the written quotation.
Can a visible style be bought as one unit?
Not necessarily. Standalone-style purchasing applies only when the listing permits it and states a minimum; otherwise the style may be available only within the lot.
Does a video prove final quantity?
No. It shows what was visible when recorded. The final quantity is the one confirmed in the latest written quotation.
What if a size or composition is missing?
Ask for the data or evidence linked to the reference. If it is unavailable, explicitly decide whether that uncertainty is acceptable for your resale market.
Which quantity controls if the figures change?
Before acceptance, use the quantity in the latest written quotation and verify the reference and purchase mode are correct.
